28/Regular/Full-Time Responsible for performing a variety of highly specialized administrative office support work in Administration.
Plans and organizes the office workflow to meet deadlines according to established policies and procedures.
Develops and maintains record keeping system; prepares and maintains financial documents; provides confidential administrative services.
Greets and provides assistance to the public, Yakama Nation program needs, co-workers and various outside agencies.
Examples of Work Performed: Determines necessary work products and oversees day-to-day work activities.
Uses a team approach; requiring a friendly, cooperative working relationship with co-workers and other programs, agencies, tribes, and the community.
Identifies project goals and sets priorities for Grants & Contract Accounting Advisors and Program Coordinators; and tracks progress with achieving priority tasks.
Instructs Grants & Contract Accounting Advisors and Program Coordinator(s) in preparing and reviewing of contractor invoices, purchase orders, travel closeouts, timesheets, and all other financial transactions.
Ensures contractor expenditures comply with contract requirements and ensure expenditures are within budget and allowable under all regulations for tribal and federal contracting.
Reviews and verifies cost documentation financial reports for accuracy, completeness, and adequacy.
The inclusion of all appropriate and relevant supporting documents (project hours, travel cost records, contractor invoices, etc.
); and reconciliation with Financial System and approved by the Grants and Contracts Office.
Reviews monthly, quarterly and annual financial reports along with a status report of priority work tasks.
Knowledge, Skills and Abilities: Knowledge and experience with Generally Accepted Accounting Principles (GAAP); Tribal Administrative Policies and Procedures for Accounting; Uniform Administrative Requirements, Cost Principles, and Audit Requirement for Federal Awards 2 CFR 200 and audit requirement.
Knowledge and experience with maintaining accurate records of work activities, project file information, and documentation of decision points, along with all Committee Actions or Resolutions associated various funding sources.
Knowledge of Yakama Nation's accounting software system and ability to provide technical support to Grants & Contract Accounting Advisors and Program Coordinators.
Familiar with the processing of invoices, purchase orders, travel authorizations, and running general ledger reports.
Skilled in analyzing and solving complex accounting and financially related problems for the purpose of financial accountability and maintaining the accuracy of cost systems.
Skill and ability to demonstrate logic and analytic ability to properly record, correct, and document financial discrepancies.
Ability to establish internal control systems to verify and document those financial reports are accurate and correct; and that all financial documentation is consistent and thorough.
Ability to perform work independently, maintaining a high level of professionalism and adherence to strict professional and ethical standards to safeguard Yakama Nation's financial interests.
Ability to demonstrate a high degree of personal integrity and maintain strict confidentiality.
Ability to manage multiple complex accounts and manage competing deadlines.
Ability to remain flexible to changes in assignments or situations, priorities and handle frequent interruptions.
Ability to communicate effectively.
Ability to maintain excellent time and attendance to meet program goals and objectives.
Ability to plan, organize, and develop personal workload independently and allocating time to the appropriate project accounts.
Minimum Requirements: Bachelor's Degree in Accounting, Business Administration or related field.
Five years of experience with the development of litigation quality cost documentation reports or equivalent to a Bookkeeper V.
Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving permit.
Required to pass pre-employment drug test.
Required to pass pre-employment background check.
