Announcement # 2024-012 Issue Date: 01-05-24 Closing Date: 01-18-24 Bookkeeper V Court Appointed Special Advocate (CASA) Department of Justice Services Hourly Wage: $18.
23/Regular/Full-Time Provides a variety of technical/general administrative office support for the CASA/Home-Study Program.
Will assist in maintaining an organized and accessible confidential record management system.
The employee will ensure the efficient day-to-day operations of the program by providing clerical office support by assisting the CASA Coordinator-Home Study Specialist in aiding with filing court documents.
They will assist in the collection and reporting of statistical data, assist in scheduling appointments with volunteers, assist in coordinating CASA Volunteer trainings, and provide reception for the CASA/Home Study Program.
Bookkeeping responsibilities include preparing detailed expenditure reports, processing travel authorizations/clos-outs, processing purchasing requisitions/orders on the financial management system (D365), assisting the Centralized JSA Coordinator to maintain CUFF Accounts for all CASA grants and budgets, assist in budget modifications, journal entries, and assist to ensure reporting timelines are met.
Other duties as assigned.
Examples of Work Performed: Provides receptionist activities for CASA/Home Study program.
Example: meets and greets clients/customers, scheduling appointments, answering phone calls etc.
Assists staff in creating client files, while maintaining inventory supplies.
Assists program staff with monthly program statistics.
Gathers data and prepares and processes monthly, quarterly, and annual financial reports in accordance with grant and contract requirements.
Assists Program Manager to develop grants and contract budgets and modifications, journal entries, purchase orders for office supplies, equipment and services, processes vendor and contract payments.
Processing requisitions, purchase orders, travel authorizations, and assisting in Payroll or travel check distribution.
Provides administrative assistance to Justice Services Programs and to the Justice Services Deputy Director as needed.
Knowledge, Skills and Abilities: Knowledge of general office principles, practices, and techniques, including record keeping.
Ability to understand and execute oral and written instructions.
Must be computer literate, using standard office equipment and case management software.
Position requires self-initiative, teamwork, accuracy, and confidentiality.
Knowledge of the Yakama Nation governmental organization and of the Yakama Nation Revised Law and Order Code.
Knowledge of fiscal and budgetary rules, regulations, compliance, reporting timelines, and of OMB Circulars and PL-93-638.
The employee must be able to complete grants & contracts management training.
Knowledge of tribal administrative, fiscal, and records management policies and procedures.
Skills in D365, fax, scanner, and Microsoft Office systems: Word, Excel, Power Point, and Access.
Ability to demonstrate a high degree of personal integrity, maintain strict confidentiality, be able to work under stressful conditions, and demonstrate good morals and temperate habits.
Ability to classify accounting transactions, maintain and reconcile accounting, close-out accounts and prepare reports and statements.
Ability to manage multiple complex projects and tasks with competing deadlines.
Ability to communicate effectively to personnel including employees, supervisors, and elected officials.
Minimum Requirements: Formal training in office procedures and two years experience as an Office Assistant and or Bookkeeper.
Must never have been convicted of a felony; never been convicted of a misdemeanor within one year of appointment.
Must pass a pre-employment background check.
Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving permit.
Required to pass a pre-employment drug test.
Enrolled Yakama Preference, but all qualified applicants are encouraged to apply.
