Office Assistant V
Fuels Management
Department of Natural Resources
Hourly Wage: $16.
07/Regular/Full-Time
Provides a variety of clerical administrative office support to the Fuels Management office.
Coordinates and prioritizes assigned workload daily to ensure smooth workflow to maintain office efficiency.
Primary responsibilities include but are not limited to answering phones, receiving the public, providing customer service assistance, data processing, bookkeeping, routing, and filing correspondence, timesheets, personnel and related documents, seasonal timesheets and picking up the daily mail.
Incumbent must be reliable.
Examples of Work Performed:
Prepare invoices for payment.
Assist with data entry using Microsoft Dynamics 365 accounting program to process purchase orders, pre-payments, travel advances and travel closeouts.
Responsible for maintaining and keeping a filing system current.
Distribute payroll biweekly.
Completing seasonal employee timesheets, including learning to accurately calculate fire time, overtime and hazard pay.
Utilize standard office equipment such as a copier, typewriter, computer, and fax.
Assist with miscellaneous typing and spreadsheets.
Shared inventory responsibilities with the ability to prepare transfer and disposal forms for signature.
Monitors office supplies, equipment, and services.
Reviews incoming mail: date stamps and log in all mail, distributes to various staff.
Assist in processing Payroll Action Forms, Leave Audits and Request for Recruitment forms for Fuels Management.
Schedule appointments for vehicle maintenance.
May assist in shuttling employees and their vehicles to vendors.
Provide monthly narrative report of tasks performed.
Must exercise sensible prioritization of multiple and coinciding tasks.
Knowledge, Skills and Abilities:
Knowledge of Yakama Nation timekeeping procedures.
Knowledge of filing practices and procedures.
Knowledge of office administration principles.
Knowledge of basic business English grammar and math.
Knowledge of standard office equipment.
Ability to communicate effectively both orally and in writing.
Ability to comprehend oral and written instructions and implement accordingly.
Ability to maintain confidentiality of all records.
Ability to process payment of travel requests into YN Accounting program.
Ability to establish and maintain effective working relationships with coworkers, managers, and the general public.
Ability to prioritize and multitask.
Ability to learn Yakama Nation Policy and Procedures.
Knowledge of Microsoft Office Platforms.
Minimum Requirements:
Must have a high school diploma.
Two years experience as an Office Assistant IV.
Required to pass a pre-employment drug test.
Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving Permit.
Enrolled Yakama Preference, but all qualified applicants are encouraged to apply.
Preferred Requirements:
Associates' Degree and bookkeeping experience are desirable.
