28/Regular/Full-Time The Executive Assistant will provide administrative support to the Executive Director and Gaming Commissioners including management scheduling, general office processing, information and document organization, assistance with development of internal documents, meeting and event planning and the coordination of all community, public and employee relations activities.
The Executive Assistant will be primarily responsible for ensuring smooth operations of the Executive Director and Gaming Commissioner offices.
Examples of Work Performed: Perform a wide variety of executive secretarial and administrative duties as required by daily operations of the Executive Director's office.
Represent the Commission to the public, businesses, and other agencies, including participation as a public speaker, at the request of the Executive Director.
Acquire Commissioner approval prior to meetings with Tribal Council members.
Coordinate office activities and schedules; develop and recommend office procedures and systems; ensure smooth office operations.
Oversight of the 2% Community Contribution Committee Grant, including the announcement of application period, processing of applications, facilitating Committee meetings, preparing correspondence on behalf of the Committee, monitoring grantee compliance and facilitating the issuance of grant awards, and all 2% records.
Review and summarize miscellaneous reports and documents; prepare background documents as necessary.
Research and analyze administrative projects for the Executive Director and Gaming Commissioners.
Receive and distribute incoming mail; review and evaluate mail to identify those items requiring priority attention of the Executive Director.
Provide follow-up to assignments given to management staff by the Executive Director; provide status reports to the Executive Director.
Provide Support to both the Executive Director and the Gaming Commissioners.
Receive and screen communications to the Executive Director and Gaming Commissioners including telephone calls and mail and provide assistance using independent judgment to determine those requiring priority attention; prioritize, channel, and facilitate communication from department heads.
Independently respond to letters and general correspondence of a routine nature.
Maintain appointment schedules and calendars for the Executive Director and Gaming Commission.
Plans and coordinates various meetings and conferences, including educational forums.
Oversight of the regulatory complaint process, including processing all officially filed complaints and initiating appropriate response to information provided.
Drafts required, routine reports including Monthly Tribal Council Reports, Expansion Reports, Annual General Council Reports, Annual General Council Presentation Report, and the official Annual Report.
Plans and coordinates employee relations activities and encourages involvement and participation by Commission personnel.
Other duties as directed by the Executive Director.
This position is a non-exempt position that requires a 40-hour workweek.
Demands of the Executive Assistant may occasionally require working non-traditional office hours as may be required to participate in community events or respond to emergency situations.
Chain of command will be adhered to at all times.

Establish and maintain cooperative relationships with the public, Legends Casino associates and employees of the Commission.
Knowledge of the principles and practices of tribal administration and general office practices and procedures.
Must have a strong working knowledge of the history of Indian Gaming and of the Yakama Nation as it relates to gaming.
Must also know and understand all Commission regulations, the Washington Tribal-State Compact, the Yakama Nation Gaming Ordinance and all other rules and regulations pertaining to the Commission in order to educate the general public and the Yakama Nation membership of the functions of the Commission.
Must be self-motivated and effective in an independent working environment.
Must be able to review documents at the Executive Director's request.
Must maintain the highest standard of public trust, confidentiality, professionalism, and loyalty.
Proficient in various personal computer applications, including Microsoft Word, Excel, Access, PowerPoint, Visio, Project, and Publisher.
Graphic design and video editing skills.
Must Adhere to Yakama Nation Personnel Policy.
Ability to pass pre-employment and random drug screening.
Minimum Requirements: Associate of Arts required with college coursework in business administration, communication or management helpful or a willingness to commit to further education.
Two to three years of experience in gaming, general office administration or executive assistance is preferred.
Any equivalent combination of education and work experience may be substituted for required qualifications.
Ability to pass pre-employment and random drug screening.
Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving permit.
Must pass a pre-employment background check.
Required to pass a pre-employment drug test.
Enrolled Yakama Preference, but all qualified applicants are encouraged to apply.
Preferred Requirements Due to the unique demands of the position, non-traditional work hours may be required.
